                    Understanding the System
VM4100

Many at Colby have access to a voice mailbox through the college’s Meridian phone system.  Generally, student voice mailboxes are tied to residence hall room phones with one mailbox per room, faculty and staff have individual mailboxes.  With this system, there is no need to install a personal answering machine.  Calls are diverted to voice mail when the line is busy or if the phone is not answered within four rings.  Students know when they have messages by picking up the phone handset in their room and listening for a “stutter” dial tone.  Most college owned phones show a red flashing light indicating a message.  Messages that are never retrieved keep building up, consuming valuable memory space from others, so it is important for messages to be retrieved and deleted regularly.  Messages that are heard but not deleted are removed automatically after midnight.  Mailboxes that are not frequently cleared are deactivated. Colby policy prohibits the use of voice mail for commercial, unlawful or inappropriate purposes.

 
Logging On
Voice mail is accessed by dialing x4100 from campus, 859-4100 from off campus.
1. Lift handset, dial x4100 You hear... "Meridian Mail, Mailbox?"
2. Dial mailbox number then # "Password?"
3. Enter Password, then #  Default password is your extension.

Retrieveing Messages
Top two rows of phone keys are like buttons on a CD player for moving around mailbox.
1. Log on. You hear... "Meridian Mail. You have __ new messages."
"Message 1 from ____" and it plays.
 
Deleting Messages
Kpad
 1. Press 76.  You hear...                                                 
   "Message deleted."  
Logging Off
1. Press 83. You hear...
"Good-by."


 
Changing Password
Change default password upon first use so others will not access your messages.
1. Log on. You hear... "Meridian Mail, You have no new messages."
2. Press 84. "Password change. Enter new password, followed by # sign."
3. Enter new PW # "Enter your new password again, followed by #."
4. Enter new PW # "To confirm change, enter your old password."
5. Enter old PW # "Your password has been changed."

        Forgot your password?  No problem.  We can change it back to the default
        (same as your extension number). Just ask us to     RESET  PASSWORD
 
Recording Greetings
3 possible greetings: external for off campus callers, internal for on campus, and temporary.
1. Log on. You hear... "Meridian Mail, You have no new messages."
2. Press 82. "For external greeting, press 1. For internal, press 2. For temp, 3."
3. Enter 1,2 or 3. "External greeting."  or "Internal greeting" or "Temporary greeting."
4. Press 5. At tone, record greeting.
5. Press 3 "Recording stopped."  Temp greeting has more prompts.
 
Express Messaging
Leave a message without logging into system. Dial x4101 or 859-4101 from off campus.
1. Dial x4101. You hear... "Express messaging to mailbox?
2. Enter the mailbox in which you want to deposit a message, then #.
3. At tone, record message and then hang up.
 
Creating Lists Phone Bombs
Users can create up to 9 lists of up to 10 membes (with their individual permissions)..
1. Press 85. You hear... "Distribution list.  Enter list number followed by #."
2. Enter 1-9.
"Distribution list ___."
3. Press 5.
"Compose distribution list."
4. Enter exts
Enter mailbox extension numbers separated by #.
5. Press #
If you make an error, press 0# to eliminate previous entry.

Edit contents of an existing list by complete steps 1 and 2 above and then...
3. Press 2 to hear contents of list.
4. Press 6 to find incorrect mailbox.
5. Press 76 to delete incorrect mailbox.
6. Press 5 to add corrected or new mailbox extension.

Delete a list by completing steps 1 and 2 above and then...
3. Press 76.                 You hear...        "The distribution list has been deleted."
4. Press # to exit OR 76 to undo the delete.

 
Composing Messages
Record a message that can be sent to multiple mailboxes or distribution lists.
1. Press 75. You hear... "Compose. Enter a list of mailboxes."
2. Enter exts. Enter 4 digit mailboxes separated by # OR single digit distribution list.
3. Enter #. "To begin recording, press 5. To end recording, press #."
4. Press 5. At tone, record message.
5. Press #   "Recording stopped."
6. Press 2    Your recoding is played during which you can press...
        5 at start of message to delete and re-record.
        5 at end of messae to add to it.
        5 at any point to re-record from that spot.
        76 to delete message entirely.
To send:         (Hanging up places recording in your mailbox.)
7. Press 79. "Message sent."
 
Forwarding Messages
Forward a message you received to one or more mailboxes or distribution lists.
After message,
1. Press 73. You hear... "Forwarding message. Enter a list of mailboxes."
2. Enter exts. Enter 4 digit mailboxes separated by # OR single digit distribution list.
3. Enter #. "To begin recording, press 5. To end recording, press #."
4. Press 5. At tone, record your header or immediately press # to skip.
5. Press #   "Recording stopped."
6. Press 2    Your header message is played during which you can press...
        76 to delete message entirely.
To send:         (Hanging up places recording in your mailbox.)
7. Press 79. "Message sent."
